Overview of Activities

Activities can be divided into custom categories, which are called activity types. For every activity type any number of overviews can be defined.

You can navigate to the Activities section by clicking the corresponding item in the main navigation on the left side. A form for searching for activities as well as links to the available overviews are then displayed.

Clicking one of the links below the search form opens the respective overview. The numbers in this view are linked and lead you to the corresponding results lists.

Overview of business cases

Use the search form in the upper section of the page to search for activities that meet particular criteria. You might, for example, want to search for activities with “request” in their title, or are of a particular type, or both. The activity types as well as the statuses can be freely defined in the system settings section. Therefore, the types and statuses shown here are examples only.

Changes to one of the search criteria, except to the contents of the Title field (click Search), will immediately update the results list:

Please note that the activities of a particular customer can also be accessed directly via the customer’s account or the contact person who made the inquiry. Click an entry in the list to open the activity concerned (here an inquiry via a contact form):

Activity details

In the upper section of the page the activity’s basic data such as the contact person and account concerned (they are accessible via the context navigation), the responsible staff member, and status information are displayed. The rest of the page contains the diary entries of this activity (two of them in this case). The latest entry is in the topmost position.

The buttons above the activity title have the following functions:

  • Edit: You can edit an activity to modify its data such as the status, or to specify a different responsible person. The meaning of the activity fields is described in the following section.

  • Delete: You can delete an activity, provided you have the corresponding permission via your role.

  • New Link: Activities can have links attached to them. Links can be helpful when referring to web pages for further information or for demonstration purposes.

  • Send History via E-Mail: Click this button to send the activity log to any recipient via e-mail. Log entries marked as internal are not included in the e-mail.

  • Add to Clipboard / Remove from Clipboard: For faster access, you can place an activity on the clipboard.

There are two tabs, Actions and Details in the lower part of the page.

  • Actions: This tab gives you access to the individual diary entries. By means of the New button, a new diary entry can be added to the activity, or a todo (for yourself or another OMC user) can be attached to it. Furthermore, the full list of diary entries can be openend by clicking the corresponding button.

  • Details: On this tab, other fields of the activity are displayed, such as the tags that have been attached to it, or the values of the custom fields defined for the corresponding activity type. The Edit button has the same function as the Edit button in the upper part of page, it lets you edit the details of the activity.
